Admin Assistant I (FM Help Desk)

Primary Purpose of the Job

Receive/process services/work requests from end- users through, e- facilities maintenance

requests (e- FMR), emails and phone. related with routine / non- routine maintenance works

covering Civil, Electrical, ELV, HVAC, Fire Alarm, UPS, Generators, Water Supply, indoor

plants and Swimming Pool maintenance services provided by FM for QP facilities.

Job Dimention

Principal Accountabilities

1. Receives e- facilities maintenance work requests via e- maintenance (e- FMR), email,

telephone and/or walk- in messages from various Departments/Accommodations,

concerned personnel for services related with routine / non- routine works comprising

Civil, Electrical, HVAC, Fire Alarm, UPS, Generators, Water Supply, Drainage, indoor

plants ,Swimming Pool and Pest Control Services.

2. Prepares notifications in SAP based on work requests/clarifications for distribution to

respective discipline Superior's / Senior Foreman or other FMF staff/ work centres as

applicable.

3. Communicates with end user and Maintenance Supervisor/Senior Foremen on

maintenance request and keep updates.

4. Updates leased buildings maintenance works under landlord. Prepares transmission

requests (fax / emails) to related Landlord representatives, communicate, co- ordinate

and follow up the services for action as per given time duration and in accordance with

lease agreements with QP and by involving concerned Foreman / Supervisor.

5. Identifies routine/ non- routine services and ensure / seek appropriate authority's

approval including FMH / FMM / FMK / Section approvals for complying with QP

procedures and policies.

6. Reports back charges applicable for works carried out by QP as a result of leased

building owner's failure to comply with requests made in accordance with lease

agreements.

7. Updates building / facility, work centre in e- FMR and create e- FMR for

preventive maintenance works. Liaise with IT for resolving any issues with eFMR.

8. Coordinate with Facilities Safety and Security focal point to provide access to

maintenance contractors to carryout routine / non- routine maintenance in

various facilities.

9. Co- ordinates periodical fire drill exercise with Safety, QP Senior Foreman and

Landlord representatives.

10. Compiles monthly KPI report and generates customer survey report from eFMR

feedback.

Decision Making Authority

Analyze the maintenance work request and allocate to concerned QP discipline staff /

facilities contractor or related Landlord in accordance with maintenance demarcation /

lease agreements and arrange recoveries for non- complied services by Landlords.

Context / Special Features / Challenges

 Has to deal with QP employees using QP facilities including QP premises leased to

various tenants with respect to maintenance works and related compliances in

accordance with their agreements.

 Communicate effectively all received messages for appropriate action by concerned

authorities and building representatives.

Qualifications / Knowledge / Skills / Experience

 Secondary school education with a Diploma in Administration/Technology with good

communication and computer skills.

 Good knowledge of both English and Arabic is essential.

 Preferably 3 years' relevant experience in a similar position, is an added advantage
