FOREMAN (FACILITY SERVICES) in Qatar

Primary Purpose of the Job

Provides general assistance in the upkeep of all Office units and facilities in Doha location.

Acts as Facility Services focal point to ensure the efficient delivery of office services to all

QP departments in Doha.

Assists the Sr. Facility Services Supervisor in the administration of contracts for Cleaning

Services, Office waiter and Laundry Services to all QP offices and buildings.

Stores and distributes Office Furniture as per budgeted requirement of departments in Doha.

Distributes pantry utensils and consumable items for pantries as requested by departments.

Organizes transport and laborers to carry out shifting of offices and provide close supervision

in transferring furniture and files.

Principal Accountabilities

1. Supervises the contractor personnel activities of all services contracts; Office waiter,

Office cleaning, and Laundry services, and ensures that the services are provided

effectively in accordance with the terms and conditions of the contracts.

2. Processes in SAP - Purchase Requisitions to procure non- standard furniture items,

prepare technical evaluation report for the PRs, provide Materials Departments with

clarifications in response to their queries and coordinates with Suppliers for delivery.

Raise Release Orders and Service Entry Sheets for materials, Services & Contracts as

per the schedule and requests in accordance with the budget availability.

3. Verifies the invoices issued by the contractors for accuracy, time Sheets and supporting

statements related to Cleaning, Office Waiters, Laundry service contracts prior to

forwarding for approval by the Supervisor. Provides clarifications and justifications if

required in case the billed amounts are high on certain occasions. Maintains record of all

payments made.

4. Prepares Technical Evaluation report for ordered furniture, pantry items, furnishing etc.

and recommends options and advantages of various offices, provides clarifications to

enquiries, works- out proposal for office modifications and obtains quotations from

contactors through Maintenance Section for service- related fabrication, repair, office

partitioning and carpeting etc.

5. Arranges call- off and deliver/installation of office furniture as per requirement of individual

departments and prepares necessary documentation and records. Arranges vehicles and

laborers for Office Movement as per approved requests, to transport the office furniture,

files etc. and provides close supervision during the movement.

CLASSIFICATION: C1 - CONTROLLED

6. Manages the Commissary requests of Doha facilities, pantries and scrutinizes the

general consumption requirements of all Departments prior to placement of consolidated

commissary Call- off orders for each month. Receives requests for pantry utensils from

departments and distribute the items as approved.

7. Ensures proper upkeep of Doha facilities, offices, common areas, pantries and toilets.

Conducts routine Safety and Hygiene inspections to ensure the facilities including the

parking areas are kept up to an acceptable standard of cleanliness and well maintained.

8. Receives e- services and facilities requests for general maintenance of offices and

facilities and assess the extent of work to be carried out and initiates necessary SAP

Notification to this effect. Liaises with civil maintenance to ensure that minimum disruption

or delay is caused in executing the work. Arranges for repair or fabrication of sign boards,

office and building numbers, their installation and duplication of office keys as per

authorized requests from departments.

9. Assists to prepare the annual budget for all activities of the section and determine

anticipated requirements, incorporating appropriate costs and justification of these in the

budget. Assists in preparation of tender documents, tender bulletins and clarifications for

facility services contracts, including scope of work, schedule of prices and specifications

for the section's all services contracts.

10. Organizes monthly statistics and activity highlights for Services report for all sources and

focal points in the area. Remains on stand- by duty for the services offered by the Section

and responds to calls after working hours.

Decision Making Authority

 Maintains accountability in allocating office furniture, commissary items and pantry

items, according to the related budget incurred.

Context / Special Features / Challenges

 Has direct access to information on contracts sponsored by the Section and data

stored in the computer.

 Has overall knowledge of the activities of the Section and handles all types of related

correspondences.

 Prepares various proposals, incident reports, memos etc. The job holder is required

to be consulted and issue statements in the absence of the Supervisor which are

considered as binding and accountable responsibilities.

Qualifications / Knowledge / Skills / Experience

 Completion of Secondary School Education (12 years) followed by diploma in the

application/use of standard computer programs required in a general office facility.

 Literate in MS Windows, Excel and MS Word programs.

 Minimum 5 years’ experience in a similar capacity in a large organization.

 Hold valid Qatari Driving License.

 The job holder is deemed to have adequate knowledge of all Safety, Hygiene and
