#Senior Admin Assistant Wanted

Primary Purpose of the Job

Carries out comprehensive administrative and clerical duties related to administration

staff day to day assignment and management. Provides guidance and assistance to

admin assistants assigned in dedicated sections of Doha Health Center.

Principal Accountabilities

1. Directs and communicates with admin assistants and dedicated section leads for day- today department’s operations, clerical support and facilities management issues.

2. Coordinates with respective admin assistants and Administrative Supervisor and ensures

for raising maintenance work request, maintains commissary items, EFMR and follow up

of outstanding work orders.

3. Focal point for Doha Health Center admin assistants time sheets and overtime issues,

coordinates with HR, finance for clarification and deviation.

4. Performs induction of new joining staff along with Administrative Supervisor, confirms and

raises request for IT assets and training needs and requirements.

5. Works closely with Customer Liaison Officer for BH regional webpage update and

customer feedback system data collection and submission.

6. Handles confidential medical records where indicated and ensures compliance by

subordinates.

7. Coordinates admin staff professional development activities in association with relevant

teams.

8. Ensures and maintains general filing system in ECM for health center maintenance

reports, HSE reports, QCD Certificates, Generator maintenance report etc. that is current

for audit purposes.

9. Participates in personal development plan and keep up to date with QatarEnergy policies

and procedures.

10. Prepares annual leave plan for admin staff in coordination with relevant department for

business continuity.

Decision Making Authority

 Directs day to day work independently, in compliance with corporate/departmental

policies, guidelines and procedures.

 Performs regular assignments for execution within strict time limits.

 Accountable for maintaining confidentiality, sharing employee information on a need

to know basis only.

 Oversee local contract maintenance and repair service schedules.

 Maintains high level of patient confidentiality.

Context / Special Features / Challenges

 Occasional direct or indirect contact with Healthcare Senior Staff, clients, and

Administrative Supervisor in the health center on administration matters.

Job Description

 Regular direct or indirect contact with service providers on queries/follow- up administration

matters/services.

Qualifications / Knowledge / Skills / Experience

 Completion of Secondary (12 years) education (essential).

 Minimum of 5 years’ experience in administration/clerical supervisory capacity in a

hospital/health facility (essential)

 Excellent MS Office skills including Excel, Access, Word and Power Point (essential)

 Keyboard speed of 50 w.p.m. minimum (essential)

 Proficient in spoken and written English (essential)

 Valid Qatari Drivers’ License (preferred)
